How to Convert a Printed Thesis Into an Editable Digital Document

In order to convert a paper thesis to a digital one that can be edited, you will have to scan all the pages, create a PDF file out of those pages, use OCR, extract text in DOCX format, and finally proofread it against the original thesis.

All the pages of your dissertation should be scanned through either a document scanner or your phone's camera. There should not be any bending while scanning the pages, and no cropping at all in any of the margin sections, headings, page numbers, or footnotes.

There should not be any shadow, glares, and lighting issues while scanning the documents. The scanner or camera should always be in line with the documents.

All scanned pages need to be checked. In case of unclear or incomplete text, rescanning is required.

Check that all the scanned pages have been converted into one single PDF file in the correct sequence. Check if there are any missing pages, duplicate pages, rotated pages, or any other problem in the document.

Upload the scanned thesis PDF to an OCR Tool that supports document processing.

OCR analyzes the page images and identifies characters, words, and other text elements. It converts the thesis's visual representation into machine- readable text that software can search, copy, and process.

Ensure that the pages scanned are in one PDF file and are in the right order. Also, ensure that there are no missing pages, duplicate pages, rotated pages, or other issues within the document.

At this stage, the scanned document will usually only consist of pages but will not be editable or searchable. At this stage, you can only view the document on your computer. Create a copy of the scanned PDF document.

If you need to modify the thesis, export the recognized content to an editable format such as DOCX.

An editable Word document allows you to change paragraphs, headings, spacing, tables, and other supported elements. The final layout may differ from the printed thesis because OCR must reconstruct the document structure from the scanned page.

Review the converted document before making substantial edits. Fixing structural problems first makes later formatting and editing easier.

Make comparisons between the editable copy and the printed thesis copy page by page. Characters in the printed version can be confused by OCR software in cases where there is poor image quality, special fonts, mathematical symbols, etc.

Pay particular attention to:

• Headings and chapter titles
• Names and technical terms
• Numbers and dates
• Citations and references
• Tables
• Mathematical equations
• Superscripts and subscripts
• Footnotes and endnotes
• Page numbers
• Figure captions
• Special characters

Do not treat the OCR output as a verified copy until these elements have been checked.

Use Clear and Properly Aligned Scans

Keep each page flat and capture the complete text area. Straight pages reduce distortion and make character recognition easier.

Avoid Shadows and Glare

Uneven lighting can obscure characters and create dark areas around the page. Use consistent lighting when photographing pages and avoid reflections from glossy paper.

Use Sufficient Resolution

Low- resolution images contain fewer details for the OCR system to analyze. Use a scanner or camera setting that produces clear characters without excessive compression.

Select the Correct OCR Language

OCR systems use language- specific character and word patterns. Select the language used in the thesis when the software provides language settings.

Keep the Original Scan

Save the scanned PDF before OCR processing. If the converted document contains an error, the original scan provides the reference needed to verify the correct text.

OCR software can accurately read the words contained within a table but put them in the wrong rows or columns. Verify the structure of the table, the information contained in it, the headings, numbers, and alignment after converting it.

In case the table is not reconstructed by the OCR software accurately, reconstruct the table manually.

OCR normally does not transform an image or illustration in a thesis into editable graphics. The original illustrations should be retained and placed in the editable document if possible.

Verify that the figure captions, labels, legends, and references to figures in the text are correct.

Footnotes and endnotes may be hard to reproduce since they depend on the recognition of text as well as page layout.

Look at the note number, the text, its location, and relationship with the main text.

There will be distortion of the characters in the names of the authors, titles of the sources, dates, page numbers, DOI numbers, etc., due to the OCR.

Verify the citation against the reference from the thesis or source. Make sure you verify citation style, numbering, punctuation, names of authors, date of publication, and pages.

Heads, footers, and page numbers may be placed incorrectly when OCR reconstructs an editable document. Check chapter names, running headers, footer text, and page numbering throughout the converted thesis.

Low- Quality Scans

Blurry or low- resolution pages make characters difficult to distinguish. Rescan unclear pages before processing them with OCR.

Incorrect Character Recognition

OCR is likely to make mistakes when reading characters that look alike. The recognition of terms, names, dates, or numbers could be incorrect when a document is not well scanned.

Instead of accepting the recognized text, compare it with the original page.

Broken Table Layouts

OCR may extract table text without preserving its original rows and columns. Check the structure and recreate tables when necessary.

Mathematical Symbol Errors

Equations can contain symbols that ordinary OCR does not recognize correctly. Compare mathematical notation directly with the printed thesis.

Handwritten Notes

Handwritten annotations can be difficult for OCR systems to recognize because handwriting varies considerably in shape, spacing, and connected characters. Manually transcribe important handwritten information when necessary.

Complex Formatting

These often use different heading levels, fonts, indentation, spacing, columns, page breaks, and section numbering. These elements may change when OCR reconstructs an editable document.

Review the document structure before applying additional formatting.
